How personal information is handled

This notice explains who controls personal information, why it is used, who receives it, how long it is kept and the rights available to you.

What we use and why

  • Contact messages — legitimate interestsName, email, topic and message are used to answer the enquiry and protect the service. They are deleted 12 months after the conversation closes.
  • Corrections and business responses — legitimate interestsContact details, authority, affected page, proposed change and supporting information are used to keep directory information accurate and resolve disputes. Case records are kept for 24 months after closure.
  • Customer reviews — consent and legitimate interestsName, email, rating, job date, review and verification evidence are used to verify and moderate the submission. Publication relies on your explicit consent. Rejected submissions are deleted after 12 months; verification records for published reviews are kept while the review is live and for 24 months after removal.
  • Optional website analytics — consentIf you accept analytics, Google Analytics receives the page viewed, broad device and browser information, approximate location derived from the network connection, and selected interactions such as calls, directions, provider-website visits, filters and successful form submissions. Form answers, search text, telephone numbers and user identifiers are not sent. Browser analytics cookies expire within 90 days and event-level data is retained for two months.
  • Security records — legitimate interestsHashed network identifiers, browser details and request times are used for abuse prevention and service security and are deleted after 90 days unless needed for a live investigation.
  • Public business information — legitimate interestsPublic business names, contact details, services, premises and service areas are organised to help customers discover providers. Suppressed source and correction records are retained for 24 months to prevent inaccurate republication.

Cookies and your choice

Analytics is optional and off until you accept it. Accept and reject are offered together, and you can change your choice at any time through “Cookie choices” in the footer.

  • Essential storageThe site stores your analytics choice on this device for up to 180 days. This contains only the choice and its expiry time and is used so the site can respect it.
  • Google Analytics cookiesAfter acceptance, Google Analytics may set _ga and a property-specific _ga cookie for up to 90 days so visits can be measured without identifying you by name.
  • Rejecting or withdrawingIf you reject analytics, the Google tag is not loaded. If you withdraw after accepting, analytics is disabled and the site removes its accessible Google Analytics cookies.
  • What we measureWe measure page use and high-level actions that improve the directory. We deliberately do not send the contents of forms, the words typed into search boxes or telephone numbers to analytics.

Who receives information

  • Hosting and security providersThe production host and security services process requests and limited logs under contract.
  • Google Analytics — only after consentGoogle Ireland Limited processes optional analytics data for this site. Where data is processed outside the UK, Google uses the applicable transfer safeguards.
  • Email and moderation servicesContact details may be processed by the configured email and case-management providers so submissions can be verified and answered.
  • Map tiles — LockScout self-hosted OpenStreetMap basemapThe interactive map is served from the same LockScout host and loads when its section approaches the visible page, or immediately when you use its load button. The host receives normal technical request information such as the IP address and requested files.
  • Legal and safety disclosuresInformation may be disclosed where required by law or necessary to establish, exercise or defend legal claims.
  • International transfersWhere a processor handles information outside the UK, an adequacy decision or approved contractual safeguards must be in place.

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or object to processing based on legitimate interests. You may withdraw consent without affecting earlier lawful processing.

Private mobile addresses stay private

Mobile operating areas may be shown without publishing a home or dispatch address as customer-facing premises.
